How to Use This Template

  1. Fill in the planned column at the start of the day: what do you intend to do in each slot? Do not look at yesterday’s audit while doing this.
  2. Log each slot in real time throughout the day, not from memory at the end. Set a reminder every 90 minutes if needed.
  3. Run the audit for 5 consecutive days to see patterns, not just one day. One day is a snapshot; a week is a truth.
  4. In the summary table, identify the category with the largest planned vs actual gap. That is your primary time management problem to solve.

Do I need to fill in every 30-minute slot?

Yes, ideally. Gaps in the log make the summary inaccurate. If you genuinely cannot remember a slot, write ‘Unknown’, that itself is useful data.

What is the point of the planned column?

Comparing what you planned to what actually happened reveals your planning assumptions. If Deep Work is always planned for 9 AM but always replaced by meetings by 9:15, your system has a structural problem.

How long should I run time audits?

One week gives you a pattern. One month gives you a picture. Use them reactively whenever you feel unproductive rather than as a permanent daily ritual.
